Job Description: Spare Parts Clerk
Department: Maintenance
Reports To: CMMS Admin
Location: AeroFarms Danville, 1526 Cane Creek Parkway, Ringgold VA


Position Summary
The Spare Parts Clerk is responsible for the organization, control, procurement support, and optimization of all maintenance spare parts inventory. This role ensures critical components are available to support 24/7 operations, minimize downtime, and maintain equipment reliability.
The ideal candidate is detail-oriented, process-driven, and comfortable working in a fast-paced industrial environment with mechanical, electrical, and automation components. Key Responsibilities
Inventory Control & Organization
  • Maintain accurate inventory levels of mechanical, electrical, pneumatic, and automation spare parts
  • Organize storeroom using 5S principles and standardized labeling
  • Perform routine cycle counts and full inventory audits
  • Track min/max levels and critical spares
  • Maintain proper storage conditions for sensitive components (VFDs, PLC modules, sensors, etc.)
Procurement & Vendor Coordination
  • Generate purchase requisitions for restocking
  • Track purchase orders and delivery timelines
  • Coordinate with approved vendors for pricing and lead times
  • Identify alternate suppliers for long-lead or obsolete parts
  • Assist in emergency procurement during equipment failures
CMMS & Documentation
  • Maintain accurate part numbers, descriptions, and BOMs in CMMS and updating part information with relevant meta-data
  • Link spare parts to assets within the maintenance system
  • Ensure kitting for scheduled PMs and planned work orders
  • Track usage trends to improve forecasting
Operational Support
  • Issue parts to technicians during repairs and PMs by kitting components
  • Support outage planning by staging required materials
  • Maintain repairable spares workflow (send out / receive back) through red-tag system
  • Support warranty tracking and returns
Continuous Improvement
  • Identify excess, obsolete, or non-moving inventory
  • Support cost reduction initiatives by identifying high usage parts and providing visibility to CMMS Admin and Maintenance Management
  • Help standardize parts across similar equipment to reduce overall number of unique components
  • Improve storeroom layout and accessibility
Required Qualifications
  • High school diploma or equivalent (Associate’s degree preferred)
  • 2+ years experience in industrial inventory, maintenance, warehouse, or storeroom environment
  • Experience working with CMMS or ERP systems
  • Basic understanding of:
    • Electrical components (fuses, relays, sensors, VFDs)
    • Mechanical components (bearings, belts, motors, gearboxes)
  • Strong computer skills (Excel proficiency required)
  • Ability to lift up to 50 lbs
Preferred Qualifications
  • Experience in manufacturing, automation, or process-driven facility
  • Familiarity with PLC components and automation parts
  • Knowledge of lean inventory principles
  • Forklift certification
