EXECUTIVE ASSISTANT
SUMMARY:
Aeroseal is looking for an Executive Assistant that will assist us in our mission by supporting members of our senior leadership team with day-to-day operations. The Executive Assistant will manage complex schedules, coordinate travel logistics, prepare meeting materials, handle confidential communications with discretion and professionalism, and assist senior leadership teams with their routine tasks.
QUALIFICATIONS/REQUIREMENTS:
- Bachelor’s degree, or equivalent experience.
- 3+ years of experience supporting senior executives in a small to mid sized enterprise with a proven track record of high-level administrative support.
- Ability to manage multiple tasks, prioritize effectively, and stay organized in a fast-paced environment.
- Advanced proficiency in Microsoft Office to include Excel, PowerPoint, and Outlook.
- Proven ability to handle sensitive and confidential information with discretion and professionalism.
- Strong critical thinking skills with the ability to make decisions quickly and resolve issues independently.
RESPONSIBILITIES:
- Provide primary executive support to multiple senior leaders, ensuring smooth daily operations and timely execution of key tasks.
- Monitor, and manage email correspondence, ensuring urgent matters are addressed promptly while maintaining discretion with confidential and sensitive information.
- Proactively manage executives’ schedules, ensuring they prioritize meetings, tasks, and events. Resolve scheduling conflicts and be proactive in anticipating the needs of executives to resolve issues before they arise.
- Prepare for meetings by creating presentations, compiling materials, and ensuring all necessary resources are readily available.
- Schedule, attend, and document meetings as required.
- Plan and arrange detailed travel arrangements, including flights, accommodations, and ground transportation. Ensure all logistics are organized and provide necessary documents (itinerary, travel instructions, etc.) in advance.
- Assist with scheduling and supporting business meetings, events or other gatherings outside regular business hours, as needed.
- Other duties as assigned.
The estimated pay range for this role is $55,000 to $80,000. Actual pay is based on various factors including, but not limited to, the successful candidate’s experience, skills, knowledge, and job location. Please note that the compensation details listed in role postings reflect the base salary and do not include bonuses or benefits.
