The Sales Operations Specialist owns the end-to-end order lifecycle, supporting our Asia Pacific Sales team with the day to day sales operational task. This role serves as the operational backbone of the sales process, bridging between Sales, Supply Chain, Operations, Product Management, Engineering, Finance, and Service.
The Sales Operations Specialist acts as the single point of ownership and visibility for the customer journey - once an opportunity enters the forecast, ensuring alignment between customer commitments, production capacity, delivery schedules, commissioning readiness, and revenue realization.
What You'll Do:
Own the global forecasting process and reporting cadence.
Coordinate weekly forecast reviews with regional sales leaders.
Maintain rolling demand forecasts by product, region, and customer.
Improve forecast accuracy and visibility.
Translate commercial demand into production planning requirements.
Serve as the business owner of ERP system (HubSpot)
Maintain opportunity pipelines, workflows, dashboards, and reporting.
Drive CRM compliance and data accuracy.
Support system integrations and reporting automation.
- Establish a single source of truth for commercial data.
- Produce weekly and monthly dashboards covering: forecast, orders, backlog, production status, shipment status, commission and revenue delivery.
Maintain approved product configurations, options, accessories, and regional variants.
Manage commercial product master data and SKU structures.
Coordinate product launches, updates, and retirements.
Ensure alignment between Product Management, Engineering, Supply Chain, and Commercial teams.
Maintain visibility of certifications and regional product availability.
Own the commercial execution process from purchase order receipt through customer acceptance.
Coordinate internal order kick-off meetings.
Maintain visibility of all customer orders and key milestones. Escalate issues that may impact customer commitments.
- Track real time domestic delivery of units in US from Port to Warehouse to Customer.
Track progress through: Purchase Order, Order Entry, Production Release, Manufacturing, Shipment, Site Delivery, Customer acceptance.
Partner closely with Supply Chain on production planning.
Maintain visibility of production schedules and backlog.
Align customer commitments with manufacturing capacity.
Communicate delivery schedules and schedule changes to regional teams.
Support prioritization decisions for strategic customers and projects.
Coordinate readiness activities between Commercial, Application Engineering, Product, and Service.
Ensure training, documentation, commissioning plans, and customer requirements are aligned before deployment.

Skills Required:
2+ years of experience in Sales Operations, Order Management, or Supply Chain coordination.
Hands-on experience with order-to-cash (O2C) or order-to-invoice processes.
Familiarity with international shipping (customs, Incoterms, export documentation) is required.
Experience with ERP/CRM systems (e.g., NetSuite, SAP, HubSpot, Salesforce).
Prior experience working with teams in Asia.
Excellent cross-functional communication skills; able to prioritize task while collaborating between teams in Asia and US.
Strong organizational skills with high attention to detail and ability to manage multiple orders simultaneously.
