Job Summary:
The Administrative Assistant will play a key role in supporting CleanJoule’s continued growth as we scale through 2026 and beyond. This individual will help ensure that the day-to-day operations of the office run smoothly and efficiently, contributing to a positive, well-organized workplace experience for employees and guests.
Working closely with Human Resources (HR), Procurement, Facilities, and Safety departments, the Administrative Assistant will assist with a wide range of office, administrative, and coordination tasks. The ideal candidate is a highly organized, proactive self-starter who thrives in all environments, enjoys managing multiple priorities, and takes pride in creating a seamless, supportive workplace.
Job Responsibilities:
- Welcome visitors upon arrival, ensure all necessary agreements are completed, issue visitor/security badges, and direct guests to the appropriate conference room or team member
- Receive, sort, and distribute mail; direct delivery drivers to the appropriate shipping and receiving area for incoming shipments
- Maintain daily office operations, including ordering and restocking printer supplies, office supplies, and kitchen inventory; keep common areas tidy and well-stocked
- Monitor and maintain conference room calendars; assist with meeting setup and ensure rooms are cleaned and reset at the end of each day
- Assist the team in planning internal events and celebrations, such as birthdays, work anniversaries, and team gatherings
- Provide administrative support to HR, Procurement, Facilities, Safety, and other departments, including scheduling meetings, coordinating travel, ordering lunches, inventory management, and supporting project-based work
- Coordinates communication across departments and shares key updates and announcements across the organization
- Assist with scheduling on-site interviews and guest, vendor, and contractor visits as needed
- Perform other administrative or office coordination duties as assigned
Experience and Qualifications:
- High School Diploma or equivalent required; Associate’s Degree or higher preferred
- 2+ years of front desk, office coordination, or administrative experience, preferably in an office or operations environment
- Exceptionally organized with strong attention to detail
- Clear and professional communicator, both written and verbal
- Proactive and self-directed, with the ability to work independently and collaboratively
- Strong sense of urgency, accountability, and follow-through
- Resourceful, approachable, and reliable under pressure
- High level of professional and personal integrity
- Technically proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience in a plant or manufacturing environment is preferred
- Forward-thinking and solutions-oriented, with a knack for anticipating needs and navigating roadblocks
Physical Demands:
Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and carry small to medium parcels, packages, and other items, to walk short distances, and drive on occasions to pick up materials/items. Ability to lift up to 25 lbs.
