Job description

We’re looking for an experienced project co-ordinator (aka master juggler and admin tamer), to bring their skills to support our growing business.

Over the last fourteen years Cognician has built a reputation for delivering world class custom-built behavior change programs to Fortune 1000 clients. We also have a complimentary arm of our business having developed ready-to-go behavior change programs, which our clients can roll out at speed, at scale, and at lower cost, but without compromising on the impact we’re known for: measurable change in 30 days or less.

And you, as a pillar of practical support, will make sure that our programs are built and maintained to standard, to scope and to time every time:) Your accountability NorthStar, means you’ll quickly become a trusted PM ally - not just a right-hand BUT the safest ambidextrous pair of hands out there:)

What experience do you have?

2 years in a project co-ordinator or equivalent project support role would be the happy minimum must-have. Experience in a B2B, Learning and Development or Change Management environment would be the great-haves:)

What will you do?

You'll play a pivotal role in coordinating and managing projects that drive significant behavior change within large organizations. You'll work closely with project teams and clients to ensure the successful build and deployment of Cognician programs, maintaining our quality standards and characteristic efficiency. And while you're working your project coordination magic, you'll be contributing to Cognician culture, participating in internal L&D, joining our team builds and contributing to your colleagues' success and wellbeing.

  • Ensuring project milestones are met according to the project timeline. Nice!
  • Coordinating resources, tasks, and stakeholders to deliver projects on time and within scope. YES!
  • Maintaining clear and consistent communication between team members and stakeholders. For sure!
  • Monitoring project progress and handling any issues that arise promptly. Easy!

What knowledge, skills and attributes are needed to be successful?

Knowledge:

  • Understanding basic project management principles and methodologies. You delight in a good process and would like to grow your skills in pm’ing.
  • Familiarity with project management tools (e.g. Asana, Microsoft Planner). You get tooling and can pick things up quickly, always looking for efficiencies.

Skills:

  • Strong organizational and multitasking abilities. Jars in the pantry cupboard are labelled kind of thing!
  • Excellent communication and interpersonal skills. You don’t believe there’s such a thing as over communicating.
  • Proficiency in the Microsoft Office Suite and other relevant software. The digital environment is your playground.
  • Ability to manage within a remote environment with virtual collaboration tools.
  • Analytical proficiency - you loooooove a good spreadsheet.

Attributes:

  • You’re detail-oriented and proactive in identifying and solving problems.
  • The ability to work under pressure and manage multiple projects simultaneously makes your heart sing.
  • Adaptability to changing project requirements and environments - it’s just what you do.

  • Studio Team: You’ll work closely with project managers, learning designers, software developers, and other team members within Cognician.
  • Digital environment: You’ll utilize project management tools and methodologies, our digital platform and AI assistants to ensure efficient project delivery.
  • Across the business: Fostering a collaborative and innovative work environment in alignment with Cognician’s values of continuous learning and development, is something you take on as part of your work.

You’ll report directly to the Studio Manager for CX.

A typical day

[Before you kick off, we hope you’ve had a good night’s sleep, a good breakfast, and perhaps a walk, a cycle, or a run, with lots of fresh air. We value wellbeing, and it starts with how you organise your day.]

Morning

  • You make quick work of your email inbox checking for new client comms that have come in overnight. You spot a request for some support around a program set to launch in the afternoon and you jump on it!
  • Next, it’s an Asana tackle. You review the updates from yesterday, add the launch support task and set about creating new tasks for the day's work ahead. Winning!
  • Hooray, it’s time for a project team online stand-up. Your teammates chat about their week ahead. The meeting is interrupted by a colleague's cat. You share your priorities for the day. You love the feeling of alignment.

Late Morning

  • You have a gap in your calendar, so you type out a Teams message to offer QA check-list support. You love contributing to the team!
  • You nip into LinkedIn and give Kudos to a teammate.
  • You also check the FLOS schedule to remind yourself when you’re on duty next!
  • You take a walk before lunch.

Early Afternoon

  • You’re excited to review the latest program designs for a new build. You notice that the URL doesn’t quite read right. You flag this with the Learning Experience Design Team.
  • Your mid-flight project’s editing tasks need to be rescheduled as the content has had a late review by the SME - no matter, you had a sense this might happen, and you’d given the Editing team a heads-up last week already!
  • You’ve tested the engagement emails for the millionth time and you’re confident they’re going to send as they should.

Late Afternoon

  • You remove some participants from a demo program because they’re moving over to a live instance.
  • And now the moment you’ve been waiting for … the project launch! It never loses its thrill! You remind the FLOS team on duty that it’s launching today, and you go over your program notes that anyone can access for project context should they need to.
  • You watch engagement levels on the platform and celebrate and other seamless delivery.
  • Prep for the next day:)

You will work closely with the project and FLOS teams to administratively support active work:

  • Contributing to solving interesting problems
  • Learning about clients and attending calls
  • Summarising minutes into actionable items to make things work
  • Creating and monitoring timelines for delivery
  • Supporting in risk management
  • Supporting in client communication
  • Representing our brand and company.
