We’re scaling quickly and are ready to hire a Data Capturer and Transaction Administrator to ensure data quality as we grow.

Role Purpose:


The Data Capturer & Transaction Administrator will be responsible for the accurate and timely input of all procurement transaction details into Zoho, ownership of the monthly transaction tape and reconciliation process, and administrative support for client reconciliations and documentation management.


This role is critical in maintaining clean, accurate, and well-organized operational data that supports reporting integrity and client confidence. The ideal candidate is highly detail-oriented, organized, and enjoys administrative structure and data accuracy.

Key Responsibilities:

1. Transaction Data Capture & Maintenance

- Accurately input and update all SCC transaction details in Zoho and related systems.

- Verify data completeness, consistency, and accuracy across all inputs to stage 1 and stage 2 credit memos.

- Track and correct any discrepancies in transaction entries in coordination with the operations teams in business development, credit, finance and ESG.

- Maintain an organized digital record of all transaction data and supporting documentation.

- Create and maintain invoices, credit notes, purchase orders, quotations, and shipping details within Zoho, ensuring accuracy and compliance with internal policies.

2. Monthly Transaction Tape Ownership

- Prepare and maintain the monthly transaction tape for management review and reporting.

- Reconcile transaction data to ensure completeness and accuracy before submission.

- Liaise with finance and operations to resolve any mismatches or timing differences or missing information.

- Maintain clear documentation of all reconciliations and adjustments.

3. Client Reconciliations & Administrative Support

- Support client reconciliation processes by preparing transaction summaries, matching records, and tracking resolution of open items.

- Maintain client documentation files, ensuring they are complete, current, and easily retrievable.

- Assist in responding to client or auditor requests for transaction and documentation information.

- Check the GST portal (GSTR-2B / 2A) to ensure input tax credit for all vendor invoices is correctly reflected for the previous month(s).

- Compare GST portal data with our books to identify mismatches such as missing invoices, incorrect GST numbers, credit mismatches, or non-eligible credits.

- Follow up with vendors or internal teams to correct discrepancies and ensure credits are realized in a timely manner.

4. Process Administration & Continuous Improvement

- Follow standardized workflows for data entry, reporting, and documentation within Zoho.

- Suggest process improvements to enhance efficiency and data quality.

- Support periodic internal audits and provide accurate data as required.

- Ensure confidentiality and compliance with data handling procedures.

Qualifications & Skills:

- Diploma or degree in Administration, Business, or related discipline (not finance-specific).

- 2+ years’ experience in data entry, administrative operations, or reporting (experience with Zoho preferred).

- Exceptional attention to detail, accuracy, and organizational ability.

- Comfortable managing repetitive, detail-oriented tasks with consistency and precision.

- Proficient in Excel/Google Sheets and general database or CRM systems

- Strong communication and documentation skills.

- Self-motivated, reliable, and able to work independently with minimal supervision.
