WORK ENVIRONMENT
- Location: We are a remote-first company and while you'll work from home, you must be based in the USA. We are currently only accepting applicants from the following locations: New York, Illinois, Georgia, Wisconsin, District of Columbia, Washington state, Florida, Texas, North Carolina, Nebraska, New Jersey, Virginia, California, Arizona.
Job Overview
The Apprenticeship Success Specialist is a critical role responsible for supporting learners and employers in achieving success within apprenticeship programs. This role focuses on onboarding students and employers, fostering relationships, tracking learner progress, and ensuring compliance with program requirements. You will proactively monitor learner outcomes and employer engagement to drive program completion rates and skill acquisition on the job.
YOUR MISSIONS :
Learner Onboarding and Support:
- Provide an exceptional onboarding experience for all apprentices to ensure program start and continuation.
- Manage a portfolio of 100-150 learners, offering support via email, phone, and chat.
- Proactively monitor student progression, attendance, and risk indicators, implementing tailored action plans to maximize success.
Employer Relationship Management:
- Onboard employers and maintain relationships through quarterly meetings to ensure apprentices are meeting skill acquisition goals.
- Manage employer compliance with work process schedules and address concerns to foster positive outcomes.
Program Monitoring and Escalation:
- Track apprenticeship data, ensuring accurate learner and employer records comply with funding and audit requirements.
- Manage the apprentice disciplinary process and ensure effective implementation of the apprentice review process.
- Act as the primary point of contact for escalations, ensuring timely resolution of issues.
Data-Driven Success Initiatives:
- Use analytics to monitor key metrics such as graduation rates, program completion rates, and CSAT/NPS scores.
- Extract and present data to measure the impact of Student Success efforts and iterate for continuous improvement.
- Write and maintain documentation, FAQs, and resources to enable self-service for students and employers.
Community and Process Management:
- Manage the online community of learners, creating engaging, data-driven content and fostering peer-to-peer interactions.
- Develop and refine processes to improve efficiency, scaling manual tasks into automated workflows where possible.
Customer Engagement and Reporting:
- Provide regular progress updates to students, employers, and internal stakeholders.
- Collaborate with other departments to address feedback, improve program content, and represent the voice of students and employers.

This job will report to Lisa Skelly, Senior Director of Customer Success and Accreditation.
ABOUT YOU :
- With a strong background as a student advisor or workforce development professional, you bring hands-on experience managing apprenticeship programs or similar workforce initiatives. You excel at maintaining accurate learner and employer records, tracking performance data, and producing reports that meet audit and funding requirements.
- Program management skills : You have a demonstrated track record of success in onboarding, retention, and placement metrics, coupled with a deep understanding of compliance with funding, audit, and regulatory requirements.
- Customer Success Proficiency: You excel at supporting diverse learner populations and building strong partnerships with employers, ensuring their needs are met and relationships are productive.
- Analytical and Data-Driven Mindset: With expertise in analyzing complex datasets, you are adept at driving insights and informing strategic initiatives. You are proficient in tools such as Excel (pivot tables, advanced formulas), Tableau, and Power BI, and skilled at creating actionable dashboards and tracking KPIs.
- Tech Savvy: Comfortable with digital tools, including CRM platforms like Salesforce, you have a strong inclination for optimizing and automating workflows to improve efficiency and service delivery.
- Exceptional Interpersonal skills: You are a skilled communicator who can engage and motivate learners and employers alike, building strong and productive relationships.
- Problem-Solving and Continuous Improvement:You bring strong problem-solving skills and a continuous improvement mindset. You have experience using the “golden cycle” approach (discover, standardize, document, automate) to develop scalable and efficient processes.
- Community Engagement Expertise:You are proficient at managing and nurturing online communities, leveraging platforms like Workplace by Facebook. You excel at creating data-driven content strategies to enhance learner engagement and foster peer-to-peer collaboration.
- Flexibility and Adaptability: You thrive in fast-paced environments, showing flexibility, adaptability, and resilience while remaining focused on achieving results.
- Collaboration and Teamwork: You possess a strong collaborative mindset, balancing independent ownership of tasks with active engagement in team efforts to achieve shared objectives.
- Passionate and Mission-Driven: You have a deep commitment to workforce development and are motivated by empowering learners through education and skill-building opportunities.
- Previous experience managing apprenticeship programs is highly valued, demonstrating your understanding of their unique requirements and challenges.
