The HR & Admin Associate plays a vital role in supporting the global HR team while also providing administrative assistance in the Philippines operations. This role ensures compliance, maintains employee records, facilitates recruitment processes, and manages administrative operations to support a smooth and efficient workplace.

Budget: Php 20,000-22,000 / month

Key Responsibilities

Global HR Support (60%)

  • Maintain and update employee records to ensure accuracy and compliance.
  • Assist with recruitment activities, including job postings, interview scheduling, and candidate follow-ups.
  • Support employee communication efforts, ensuring team members are informed of company policies and HR updates.
  • Process employee document requests such as Certificates of Employment, Endorsement Letters, and other necessary paperwork.
  • Manage onboarding, offboarding, employee changes etc. on Plastic Bank’s HRIS platform.
  • Assist the HR team with various HR-related tasks and projects.

Administrative Support (20%)

  • Oversee and manage the company’s co-working space, including meeting room reservations and employee use.
  • Maintain office supplies and manage document organization.
  • Handle on-site errands such as document deliveries, banking needs, and other administrative tasks.
  • Assist with audits by ensuring necessary documentation is prepared and submitted as required by regulatory bodies.
  • Coordinate bookings and reservations for client and leadership visits.

Country Operations (20%)

  • Manage the procurement process for country-specific purchases and service needs.
  • Provide logistical support for company events, activities, and conferences.

Qualifications

  • 1-2 years of experience in HR or administrative roles preferred.
  • Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
  • Ability to handle confidential information
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong attention to detail and problem-solving skills.
  • Able and willing to work flexible hours.
  • Able to work independently and with minimal supervision.
