Brief about the Team
The Facilities & Workplace Experience team is responsible for ensuring smooth workplace operations and creating a seamless employee experience across corporate offices. The team manages end-to-end facilities operations, vendor management, travel desk services, workplace infrastructure, compliance, and employee-facing support functions while maintaining high operational and service standards.
What will you do:
1. Corporate Office Operations
Manage day-to-day operations across corporate office floors including housekeeping, reception, pantry, security, asset management, and guest handling
Ensure consistent workplace and service standards aligned with organizational culture and employee experience
Develop and maintain SOPs for soft and hard services
2. Vendor Management & Procurement
Manage end-to-end vendor lifecycle including onboarding, SLA/KPI tracking, performance reviews, and contract renewals
Negotiate commercials while ensuring high-quality service delivery
Maintain vendor relationships for AMC, housekeeping, F&B, travel desk, and civil/MEP services
3. Budgeting, MIS & Cost Optimization
Build and manage annual OPEX/CAPEX budgets for facilities operations
Own monthly MIS reporting and variance analysis
Drive measurable cost optimization initiatives and operational efficiencies
Support forecasting for office expansion and consolidation requirements
4. Travel Desk & Corporate Services
Oversee corporate travel desk operations including flights, hotels, cabs, and visa coordination
Ensure travel policy compliance and manage travel agency relationships
Monitor travel-related MIS and optimization initiatives
5. Space Management & Compliance
Manage seating allocation, workspace utilization, and capacity planning
Coordinate with landlords, PMC teams, and internal stakeholders for workplace infrastructure projects
Ensure adherence to EHS standards, fire safety norms, statutory compliances, and workplace regulations
Conduct audits, safety drills, and maintain compliance documentation and AMC records
What we are looking for:
57+ years of experience in Facilities, Administration, Workplace Experience, or IFM roles
Proven experience managing HQ or multi-floor corporate office operations
Strong exposure to vendor management, stakeholder management, and workplace operations
Experience in OPEX/CAPEX ownership, budget reporting, and AOP planning
Hands-on experience managing travel desk and corporate services operations
Strong analytical, problem-solving, and operational management skills
Advanced Excel and MIS reporting capabilities
Experience using Zoho or similar facilities management platforms
Graduate in Hospitality, Management, Engineering, or related field
Prior experience with IFM firms such as JLL, CBRE, or similar organizations preferred
Exposure to workplace wellness, IAQ, or green building initiatives will be an added advantage
